About Us

We are a busy, well-established, private OB/GYN practice in Dallas with five physicians and a dedicated clinical and administrative team of 12 full time employees, and five contracted employees. We pride ourselves on providing compassionate, patient-centered care while maintaining an efficient and professional office environment.

Position Summary

We are seeking an experienced Office Manager to oversee the daily operations of our practice. The ideal candidate will have a strong background in medical office administration, employee management, as well as excellent leadership skills, and a proven ability to balance patient care with operational efficiency. The Office Manager will be responsible for managing the administrative functions of the practice, supervising clinical and non-clinical staff, ensuring regulatory compliance, optimizing patient experience, and maintaining efficient workflows. This role is vital in fostering a positive work environment and ensuring the smooth day-to-day functioning of the office

Key Responsibilities

· Manage day-to-day operations of a five-physician OB/GYN office

· Supervise and support front desk staff, back office staff, billers, and other administrative personnel

· Facilitate staff training, evaluations, and performance management, hiring, and scheduling to optimize workflow

· Oversee scheduling, patient flow, and staff productivity

· Ensure compliance with HIPAA, OSHA, and other healthcare regulations

· Partner with physicians on practice growth, financial performance, and strategic initiatives

· Manage payroll, budgets, and vendor relationships

· Address patient concerns and promote a positive patient experience

· Implement and optimize policies, procedures, and EMR workflows

· Coordinate training, on-boarding, and staff development

· Implent benefits for employees

· Monitor office budgets, expenses, and supplies

· Credentialing, knowledge of Parrallon and CAQH are a plus, including licensing renewals- TMB, DEA, TMLT

· Skill in using EMR systems (Greenway/Intergy used in office)

· Strong knowledge of medical billing and insurance processes

· Strong knowledge of HIPPA

· Ability to multitask in a fast-paced clinical environment

Qualifications

· At least an associate's degree with Bachelor’s degree in Healthcare Administration, Business, or related field preferred

· 3+ years of management experience in a medical practice (OB/GYN experience strongly preferred)
